A job application email is often the first thing a recruiter reads from you, and many decide in a few seconds whether to open your resume. A clear subject line, a short body and a correctly named PDF are enough to get that click.
Job application mail format
| Part | What to write |
|---|---|
| To | The email address in the job post. Do not add multiple companies in one email. |
| Subject | Job title, reference ID if given, and your name. |
| Greeting | “Dear Ms. Iyer,” or “Dear Hiring Manager,”. |
| Line 1 | The role and where you found it. |
| Lines 2–3 | Degree, year and one or two proofs that match the job (project, internship, certification, tool). |
| Line 4 | “I have attached my resume for your review” and availability for an interview. |
| Sign-off | “Regards,” or “Thank you,” with name, phone and LinkedIn or portfolio link. |
Keep the body between 80 and 150 words. If the employer asks for a formal application letter or cover letter, attach it as a separate PDF and keep the email itself short. Our guide on how to write an application letter for a job covers the full letter format.
