A short, polite follow-up can bring a quiet application back to a recruiter’s attention. A pushy or vague one can do the opposite. This guide covers when to follow up, which channel to use and ready-to-edit messages for every stage, from just after you apply to after your final interview.
Never miss a follow-up
Log each application in the free GradVix job tracker, set a follow-up date and see which follow-ups are due today.
Should you follow up after applying for a job?
Usually yes, once, if you have a sensible way to reach the recruiter or hiring team. Recruiters handle many openings at the same time, and a short reminder can help them find your application. A follow-up will not rescue an application that does not match the role, so make sure your resume fits the job first.
Skip or limit follow-ups when:
- The job post clearly says only shortlisted candidates will be contacted, or asks candidates not to call.
- You applied through a portal with no recruiter contact and no message option.
- You already followed up twice with no reply.
When should you follow up?
Employers work on very different timelines, so treat these as practical guidelines rather than rules:
| Situation | When to follow up | How many times |
|---|---|---|
| After applying online | About 5 to 7 working days after applying | Once, then once more after another week at most |
| After a referral | Thank the referrer the same day; check in with them after about a week | Once |
| After an HR screening call | After the date HR mentioned, or about a week if none was given | Once |
| After an online test or assignment | A few working days after the result date you were given, or about a week | Once |
| After an interview | Thank-you note the same or next day; check-in after the promised timeline passes | Thank-you plus one check-in |
| After a verbal offer | If the written offer has not arrived by the promised date | Once, then call HR |
Write the follow-up date into your tracker when you apply. The job application tracker guide shows a simple way to do this.
Which channel should you use?
| Channel | Use it when | Keep in mind |
|---|---|---|
| You have the recruiter’s or HR’s email address from the job post, a call or earlier messages | The most formal option and easiest to forward internally | |
| LinkedIn message | The post was shared by a recruiter or hiring manager on LinkedIn | Keep it very short; connection requests have a small character limit |
| Job portal message | The portal shows a message or chat option for that job | Availability depends on the portal and the job |
| The recruiter contacted you on WhatsApp first | Message during working hours and keep it brief and professional | |
| Phone call | After an interview or offer, when HR has already spoken to you by phone | Avoid cold-calling numbers you were not given |
How to structure a follow-up message
- Clear subject or opening. Name the role and, if you have it, the job ID.
- Context. Say when and where you applied, or when your interview was.
- One line of fit. One relevant skill, project or result. Not a second cover letter.
- Polite ask. Ask about the status or next steps, and offer anything they need.
- Sign-off with details. Full name, phone number and your resume attached again if it is an email.

1. Standard follow-up (experienced)
Dear Ms. Rao,
I applied for the Data Analyst role at Orbit Retail on 12 October through your careers page. I wanted to check whether my application is still under consideration.
In my current role I build weekly sales dashboards in Power BI and SQL for regional managers, which matches the reporting work described in the job post.
I have attached my resume again for convenience. Please let me know if you need any further details.

Dear Hiring Team,
I am a 2026 B.Com graduate and applied for the Graduate Trainee position on 5 October. I am writing to confirm that my application was received and to ask about the next steps in the selection process.

Track who you followed up with
Set a follow-up date for each job, mark it done when you send the message and see the full timeline later.
Follow-up mistakes to avoid
- Following up too early or too often. A message the next day, or every two days, reads as pressure.
- Being vague. “Any update?” without the role name or date makes the recruiter search for you.
- Repeating your cover letter. One line of fit is enough.
- Guilt or complaints. Avoid lines such as “I have been waiting for weeks” or “nobody replied”.
- Messaging outside working hours on WhatsApp or personal numbers.
- Losing track. Sending the same message twice, or to the wrong company, is easy without a tracker.
- Not moving on. After two follow-ups with no reply, put your energy into new applications.
