Job Application Email for Freshers: Format & 6 Samples

Published 28 October 2026Job application guideFor freshers and students in India

A job application email is often the first thing a recruiter reads from you, and many decide in a few seconds whether to open your resume. A clear subject line, a short body and a correctly named PDF are enough to get that click.

Quick answer: Use a subject line like “Application for [Job title] – [Your name]”, greet the recruiter by name, then write three to five short lines: the role you are applying for, your degree and one or two relevant proofs, and a note that your resume is attached. End with “Regards”, your full name, phone number and LinkedIn link. Send it from a professional email address with your resume as a PDF.

Job application mail format

Part What to write
To The email address in the job post. Do not add multiple companies in one email.
Subject Job title, reference ID if given, and your name.
Greeting “Dear Ms. Iyer,” or “Dear Hiring Manager,”.
Line 1 The role and where you found it.
Lines 2–3 Degree, year and one or two proofs that match the job (project, internship, certification, tool).
Line 4 “I have attached my resume for your review” and availability for an interview.
Sign-off “Regards,” or “Thank you,” with name, phone and LinkedIn or portfolio link.

Keep the body between 80 and 150 words. If the employer asks for a formal application letter or cover letter, attach it as a separate PDF and keep the email itself short. Our guide on how to write an application letter for a job covers the full letter format.

Frequently asked questions

What is the format of a job application email?
A clear subject line with the job title and your name, a greeting, three to five lines covering the role, your degree and relevant proof, a note that your resume is attached, and a sign-off with your name and phone number.
What should a fresher write in a job application email?
Mention the role, your degree and graduation year, one or two proofs such as a project, internship or certification that match the job, and that your resume is attached.
What is a good subject line for a job application email?
“Application for [Job title] – [Your name]”. Add the job reference ID if the post gives one.
Should I write a cover letter in the email body or attach it?
For most jobs, a short email body is enough. Attach a separate cover letter only when the employer asks for one.
Can I send my resume without writing anything in the email?
No. An empty email with only an attachment looks careless and may be filtered as spam. Always write a few lines.
When should I follow up after a job application email?
Wait about five to seven working days, then send one short, polite follow-up in the same email thread.
